VantaReach Salon ERP is the all-in-one salon ERP, CRM and POS software by VantaReach. This guide walks through every part of the system, from your first sale to running several branches from one screen. If anything here is unclear, message us on WhatsApp and a real person will help.

Getting started

When you sign up, our team sets the system up for you, we create your account, import your existing clients and sales, and add your services and staff. You get a login for salonerp.vantareach.tech, and you can open it on any phone, tablet or computer. There is nothing to install.

  1. Sign in at salonerp.vantareach.tech with the credentials we send you.
  2. Check your services and prices under Services, tweak anything we set up.
  3. Add your team under Staff and set each person's commission.
  4. Take your first sale in the POS. That's it, you're live.

The POS (point of sale)

The POS is built for a busy front desk. Pick services, assign the stylist, apply a discount, split the payment between cash and card, and charge, in seconds. Every sale is locked and logged, so nothing can be quietly edited or deleted without a trace.

What it handles

Clients & the AI CRM

Every client has a profile with their full visit history, spend, birthday and preferences. The CRM quietly learns how often each client normally comes in, and flags anyone who is overdue with a churn-risk score.

AI retention (Empire plan)

On the Empire plan, the AI acts on those flags for you, it sends personalised WhatsApp messages to win lapsing clients back, wishes them a happy birthday, and runs anniversary and offer campaigns, all automatically. You approve the tone once; it runs in the background.

Staff, HR & payroll

Track attendance, set tiered commissions, record advances and deductions, and generate print-ready salary sheets. Commissions are calculated from the real sales data, so there are no month-end arguments and no spreadsheet errors.

Inventory & expenses

Keep back-bar stock (what your team uses) separate from retail (what you sell). Get low-stock alerts, and see when a service is quietly using more product than it should. Log expenses by category so your profit figure is the real one.

Reports & the Empire dashboard

See daily, weekly and monthly sales, your top staff and top services, and a true profit-and-loss you can export for tax time. Running more than one location? The Empire dashboard puts every branch on one screen, compare revenue side by side and drill into any single branch.

Moving your data in

We migrate your existing clients, services and sales for you, from a spreadsheet, or from tools like Fresha or Vagaro via Excel/CSV. You start with your real numbers, not a blank screen. And you can export your data at any time, so you are never locked in.

Plans

Three plans, Starter (a single location going digital), Professional (multi-branch with full HR, payroll and inventory), and Empire (everything, plus the AI retention engine and WhatsApp automation). Security & backups

Your data is cloud-hosted with nightly backups and role-based access, and we keep hardening security over time. No system is perfectly secure and we won't pretend otherwise, but your data is always yours and exportable. See our Privacy Policy for the details.
